Booking for clinics

Online booking, reminders and after-hours capture for clinics

Your front desk cannot answer every call while checking patients in, and new patients book with the clinic that replies first. Tekton fills the gaps with online booking and reminders, plus after-hours enquiry capture, all around your practice software.

In one line: for a clinic, booking means new patients can book an assessment online at any hour and reminders help cut no-shows, while after-hours enquiries get captured, with anything clinical or urgent handed to your team.

Around your practice software

Jane, Cliniko and Noterro stay in charge of the schedule.

We build on your existing online booking and reminders, adding what the software does not do: after-hours enquiry capture and a cleaner path from search to booked assessment.

Where do new patients slip away before booking?

Three places, usually. The call that rings out while the desk is busy with a patient at the counter. The evening visitor who finds no way to book online, or a booking page that asks for too much. And the cancellation that leaves a slot empty because nobody could refill it in time.

Each one is a gap in coverage, and each is inexpensive to close compared with the value of a patient who stays for a course of care.

What does booking for a clinic include?

Online booking for new patients

A clear path from your website and Google profile to an assessment booking in Jane, Cliniko or Noterro, with the right practitioner and appointment type preselected.

An optional missed-call text

If you want calls routed through a tracked number, a missed-call text can follow up, inviting the caller to book online or asking when to call back.

Reminders that cut no-shows

Text and email reminders before each appointment with an easy way to confirm or reschedule. We use your software's reminders where they exist and fill the gaps.

Waitlist and cancellation fill

When a slot opens, patients on a waitlist are offered it in order, so the gap fills before it goes cold.

After-hours enquiry capture

Evening and weekend enquiries get captured. Routine questions such as hours, location, parking and direct billing are answered, and the person is pointed to an assessment booking.

Clinical and urgent hand-off

Anything that sounds clinical or urgent or distressing goes to a person on your team, and nothing automated gives health advice.

How do we keep after-hours capture appropriate for health care?

Anything automated has a narrow job and a written scope. It answers administrative questions, collects only the contact details needed to book and never asks for or stores clinical information. If a caller describes symptoms or asks whether they should be treated, it offers a booking or a call from a practitioner and stops there. If someone mentions an emergency, it directs them to call emergency services.

Messages follow Canada's anti-spam law and your privacy obligations, which means consent is recorded and opt-outs work. Texts never mention treatment. Your team reviews the captured enquiries in the first weeks and adjusts the scope. For background on reminders, read how appointment reminders cut no-shows.

What does a typical evening look like with this running?

It is 8:30 in the evening. Someone has had a stiff neck for a week and finally decides to do something. They find your clinic on Google Maps, tap the booking link and choose a first assessment with the practitioner who sees that kind of problem. The booking lands in your schedule, and they receive a confirmation and an intake form.

If they phone instead, the after-hours message gives your hours and location and offers the same booking link. Anyone describing something urgent, such as a sudden loss of feeling or a serious fall, is told to seek urgent care. The next morning your front desk finds a booked assessment waiting.

How does this fit the Growth Engine seat?

Booking is one track in the Growth seat, next to local SEO, the website, reviews and AI search. It converts the attention those tracks bring into kept appointments. The build is a one-time investment, then the monthly seat. See the packages page.

This is our founding-client guarantee. The monthly seat is waived until the engine produces the agreed number of new tracked enquiries (tracked calls and booking-form requests from the channels we build) within 90 days of go-live. Paid ads are excluded, and you answer or return the calls that come in. The build is paid and yours either way. We never promise rankings or bookings or revenue.

Common questions

Does this replace my front desk?

No. It catches what the desk cannot, mainly after-hours contacts and busy stretches. Your team still runs the clinic.

Can after-hours capture take patient health information?

No. It handles administrative questions and booking details only, and clinical questions go to your staff.

Do I have to leave Jane?

No. We work around Jane, Cliniko or Noterro. We only suggest a change if your setup is actively losing bookings.

How do reminders reduce no-shows?

They remove the reasons people forget and make rescheduling a one-tap task, so slots are freed early.
