Automation for clinics

Patient recall and automation for clinics

Patients drop out of care quietly. A plan is half finished, a new injury is ignored, a cancellation leaves a gap. Tekton builds recall and follow-up that runs alongside your practice software, so the front desk can focus on the people in the room.

In one line: automation for a clinic means recall messages to lapsed patients, waitlist fill for cancellations, new-patient intake and post-visit follow-up that run on their own and never include clinical detail, working around Jane, Cliniko or Noterro.

Runs alongside your software

Your patient list stays in Jane, Cliniko or Noterro.

Recall and follow-up read from the records you already keep, and messages are sent from your clinic's number and address. We build on Jane, Cliniko and Noterro, and we do not ask you to move patient records anywhere.

Where do clinics lose patients after the first visit?

Mostly through silence. A patient feels better after four sessions of a six-session plan and stops booking. Someone treated last year has a new flare-up and searches for a clinic again instead of phoning yours. A canceled Thursday slot stays empty because filling it by phone takes too long.

Practitioners care about continuity of care, and front desks do not have hours to chase it. Automation handles the chasing in a measured, respectful way.

What do we automate for a clinic?

Recall for lapsed patients

A friendly message to patients with no booking in a set period, inviting them to book a check-in. The timing is set with your practitioners, who know what is appropriate.

Waitlist and cancellation fill

When a slot opens, waitlisted patients are offered it in turn. The first to accept gets it and the rest are told it is taken.

New-patient intake

Forms sent when a first appointment is booked, so paperwork is done before arrival. Sensitive information stays in your practice software.

Appointment reminders

Reminders that make confirming or rescheduling a single tap, using your software's reminders where they exist.

Post-visit follow-up

A short message after a visit with general information, such as how to reach the clinic, and at the right moment a request for Google feedback.

Seasonal and program outreach

A note before the holidays about available times, or an invitation to a clinic event.

What keeps clinic automation appropriate and private?

Messages never contain clinical detail. They do not name a condition or a treatment or a practitioner's advice, because texts can be read by anyone holding the phone. Anything patient-specific happens by phone or inside your secure practice software.

Consent is handled properly under Canada's anti-spam law, with clear opt-outs and records. Recall wording stays informational and never pressures anyone into care, in keeping with the advertising standards of Ontario's health colleges. Your practitioners approve every message before it is switched on. For examples of timing, read how appointment reminders cut no-shows.

Which automation should come first?

Start with the pieces that protect the schedule. Confirmations and reminders come first, because a kept appointment is worth more than any marketing. Online intake forms come second, since they shorten the first visit and relieve the front desk. The waitlist comes third, because it turns cancellations into bookings with no phone tag.

Recall comes last and needs the most care, because it touches ongoing care. We build it with your practitioners, agree on who it is for and how often, and start with a small group. Patients who have been discharged or asked not to be contacted are excluded, and every message can be stopped with one reply. We review results each month before widening it. The front desk receives a short guide on what patients may ask when a message arrives, so nobody is caught off guard, and any reply that needs a human goes to a named person at the clinic.

How does this fit the Growth Engine seat?

Automation is one track in the Growth seat, next to booking, the website, reviews and local SEO. It keeps the patients those tracks bring in. The build is a one-time investment, then the monthly seat. See the packages page.

This is our founding-client guarantee. The monthly seat is waived until the engine produces the agreed number of new tracked enquiries (tracked calls and booking-form requests from the channels we build) within 90 days of go-live. Paid ads are excluded, and you answer or return the calls that come in. The build is paid and yours either way. We never promise rankings or bookings or revenue.

Common questions

Will patients find recall messages intrusive?

Not when they are occasional and warm and relevant, with an easy opt-out on each one. Timing is set with your practitioners.

Do messages include treatment details?

No. They stay administrative so nothing private is exposed on a lock screen.

Does this work with Jane?

Yes. We work with Jane, Cliniko or Noterro, reading from the records you already keep.

Who approves the messages?

You and your practitioners approve all wording before anything is sent.
